Program Assistant (hourly) – Environmental Analysis Facility

We are seeking a dependable, highly organized, part-time administrative program assistant to work with the Director of the Environmental Analysis Facility in Reno, NV.

While performing the duties of this job, the ideal candidate will be regularly required to use professional written and oral communication skills; read and interpret data, information and documents; analyze and solve non-routine and complex office administrative problems; use math and mathematical reasoning; observe and interpret situations; learn and apply new information or skills; perform highly detailed work on multiple, concurrent tasks; work under deadlines with frequent interruptions; and interact with Program Coordinator, Director, staff, students, scientists, the public and others encountered in the course of work using tact and discretion.

Intermediate to advanced use of word processing, spreadsheet, database and other standard software to create complex documents and materials requiring the interpretation and manipulation of data.

Required Education/Experience/Abilities

  • Three years of increasingly responsible office administrative, specialized administrative support or secretarial experience; or an equivalent combination of training and experience.
  • Graduation from high school or G.E.D. equivalent. (At least two years of college preferred)
  • Experienced in the use of personal computers, photocopiers, fax machines, scanners.
  • Intermediate skill level in the use of Microsoft Professional Suite (Word, Excel, PowerPoint), plus understanding of databases (MS Access or FoxPro); use of email and Internet browsers.
  • Experience booking domestic and international travel and processing travel claims.
  • Proficient in correct English usage, including spelling, grammar and punctuation.
  • Type accurately at a speed necessary to meet the requirements of the position.
  • Strong proofreading and editing skills.
  • Accuracy and attention to detail.
  • Ability to handle multiple priorities and to take ownership of and prioritize assigned tasks under tight deadlines and high pressure.
  • Takes initiative, with the ability to work independently under minimal supervision.
  • Being proactive, thinking ahead and excellent at follow-through.
  • Strong work ethic and willingness to learn.
  • Be a self-starter with strong problem solving abilities.

Major types of daily activities/projects:

  • Organize and maintain hard copy and electronic filing system, both on local hard drive and external server.
  • Book travel, update schedule/calendar, and process travel claims.
  • Data entry: maintain databases and spreadsheets
  • Compose accurate correspondence from brief instructions.
  • Perform general clerical duties to include, but not limited to: photocopying, faxing, mailing, and filing, filling out forms.
  • Assist in the scheduling, organization, and setup of meetings and events.

Salary

This is an hourly Program Assistant position with a starting rate of $15 per hour with no benefits.

Hours

This is a part-time hourly position, is limited to a maximum of 1000 hours in a calendar year, and does not include benefits. Hours worked will generally be 20 hours per week, Monday through Friday. Specific times and number of hours per week will be determined with finalist. Additional hours per week may be expected, based on project deadlines and special events.
